Whether you want a formal sit down event, an informally styled cocktail party, or a themed wedding, we can assist you in making your dream day become a reality. We can recommend wedding planners, caterers, local suppliers and transportation options. Enjoy the freedom for you to use the suppliers and co-ordinator of your choice.

The Venue
The client agrees that they have booked a Wedding/Private function, which is for up to (please circle) 30/ 40/ 50 or between 50 -70/ 70 - 90/ 90 -120 guests at the event. If there are any additional guests over your selected number, additional charges and terms will apply Our Wedding Packages vary dependent on the total number of guests. For example: 32 guests will take the package to the next price bracket of up to 40 guests.
1.2 Children 12 months and older are considered guests and will be charged accordingly.
1.3 No food or drink is permitted in the pool. Persons who are intoxicated are also asked to refrain from using the pool facility. A competent adult must supervise all children at all times. The client takes responsibility to supervise guests who use the pool, and to ensure that they adhere to these requirements. During your event there is to be no smoking on the pool level – designated smoking areas will be signposted.
1.4 The gate to the Swimming Pool must be kept closed at all times.
1.5 Guests are welcome to move/re-arrange outdoor furniture by the pool for functions, however, all furniture must be put back into place after the event/before check out or an additional charge will be incurred. With the exception of the potted plants, which are not to be moved.
1.6 A Marquee must be hired.The Event
2.1 The Client agrees that the event is of a one day duration for the number of guests as indicated above (unless previously discussed and arranged in writing with the management). At no other time during the booked period are outside guests to return to Koonyum Range Retreat for another gathering such as a brunch or evening meal. Should this occur, this is classed as a second event and a venue hire fee will apply. Only the guests actually staying in the Retreat may gather and socialize at the Main House (maximum 22 people) during the booked period other than on the day of the event.Curfew/Noise
2.1 Koonyum Range Retreat is set in private surroundings on the escarpment of Koonyum Range. However, should it become necessary to do so, management reserves the right to place limits on noise disturbance at our
discretion.
2.2 We reserve the right to request the removal by the client or their representatives of any individuals from the premises due to drunken or disorderly conduct at any time during your stay.
2.3 Your wedding event will finish at 10 pm by which time all un-accommodated guests must leave the property. If there are still guests on the property after 10:15pm we will deduct from your bond.
2.4 Accommodated guests staying on the property (maximum 22) may socialise in the Main House together. After 10pm please ensure you move indoors with the balcony doors closed.
The house, poolside studio, and one bedroom villas
3.1 We reserve the right to request the removal by the client or their representatives of any individuals from the premises due to drunken or disorderly conduct or breaching of the house guidelines.
3.2 Check-in is from 2pm on the day, and checkout is 10am. It us requested that you please let us know your arrival time to ensure we are here to welcome you and not off on one of our daily errands. Please note that we can arrange an early check-in or late checkout depending on availability. There is a surcharge of $120 per hour in the house and $50 in the villas.
3.3 On checkout the house must be in a tidy state – particularly the kitchen. All dishes must be cleaned and put away in their original storage locations, otherwise cleaning fees will be charged at the cost of cleaning or repair. This includes all furniture and outdoor areas. All rubbish must be taken away. Please report any issues to us immediately to limit your liability and maintenance costs.
Amplified music for your event
4.1 We have the facilities to accommodate entertainment including bands and DJ’s. We reserve the right to control the quality, style and volume of any entertainment or activity conducted on the premises. The maximum volume level is 90.0 decibels from a distance of 10 meters.
4.2 All entertainment must cease at 9:45pm, or a penalty will be deducted from your bond.
4.3 Contact details of the entertainment must be supplied to us once the entertainment is confirmed, but must not be any later than 1 month prior to the event.
4.4 If there is no DJ, the same rules apply as above. We will require the details of music being played and all details pertaining to setup.Insurance/Liability
5.1 The client agrees to organise their own event insurance and to provide a copy of the certificate of currency to Koonyum Range Retreat at least one month before the date of the event.
5.2 We have an absolute maximum of up to 150 guests allowed on site. Koonyum Range Retreat accepts NO public liability responsibility at all for, or during, the event if this number is exceeded.Catering and hire of equipment
6.1 The client agrees to make all hire of equipment and catering arrangements themselves or with the assistance of an events coordinator. Hire equipment/marquees etc. can be delivered/set up, prior to check-in (the day before) with prior approval of Koonyum Retreat. To ensure access to the poolside area we suggest booking a night in the Poolside Studio the night before your event.
6.2 Please ensure the kitchen of the Main House is tidy and all the dishes cleared away before the caterers arrive to ensure there’s no mix up of utensils. No crockery, cutlery, pots and pans belonging to Koonyum Range are to be used by the Caterer/Guests during the event. The same policy applies to glassware. We often lose utensils etc when they get mixed up with the Catering Equipment.
6.3 All alcohol must be served by an RSA certified bar person, usually provided by your Caterer. There is a NO BYO alcohol policy for guests. All alcohol supplied must be served over the bar or by wait staff.
6.4 The collection of ALL hire equipment must be organised before the event and must be removed from the property by 10 am on the following day. Koonyum Range Retreat takes no responsibility with regard to the hired equipment.Waste & Rubbish
7.1 A waste removal fee will be charged for the removal of rubbish and recycling associated with the event. Normal procedure is to organise its removal with your own bins with your caterer – or with us in advance.
7.2 We require that you ensure all rubbish and recycling is placed in the appropriate bins provided. This includes any rubbish left by suppliers or guests at anytime throughout your stay.
7.3 Additional costs will be incurred for the removal if rubbish from our gardens and grounds. This includes broken glass, beer bottles and cans.Parking/Shuttle bus
8.1 There is very limited parking at the property available only by prior consent of Koonyum Range Retreat, Management. Prices do not include transport for guests, which need to be arranged by the client. A shuttle bus is required to transport all guest to and from the event. There is a maximum of 12 car parking spaces on the property, including the staff vehicles.
8.2 The Professional Co-ordinator is to be responsible for the parking on the day of the event. Management recommends that one person have a box and collect every ones keys tagged, in the event of needing to move someone’s car. If our staff need to supervise parking/car removal extra charges will apply.
8.3 There is to be no parking on the road whatsoever.
Events coordinator
9.1 An on the day Professional Coordinator is required for an event booked at Koonyum Range retreat, to be responsible on the day and to stay until the end of the event clean up, especially in regard to noise levels, guest arrival and departure etc. whom we can contact if necessary (we can provide you with the details of an on the day coordinator). In some cases you may want your coordinator to come prior to the event to assist with set up.
9.2 The client agrees that all details relating to the number of guests and proposed use of the venue will be provided to management at least one month prior to the date of the event. All of which is outlined in the wedding events checklist.- Insurance
